Our Fair Trading Charter sets out clearly and simply the responsibilities which we at tourhotels have to you and you in turn have to us when we make a contract between us.

Definitions:
"Event" means any special event such as concerts, theatre shows, sporting events, exhibitions, shows, festivals, fairs and similar.

PASSPORT/VISA REQUIREMENTS.

A full passport is required for our overseas Tours. Please note that it is the responsibility of the client to be in possession of a valid passport (minimum validity of 6 months) and any visa that may be required. Long delays in obtaining passports and visas can occur so be sure to apply well in advance of departure. Non British passport holders should check the regulations with the consulates of all the countries you will be visiting or passing through.

HEALTH REGULATIONS

No specific inoculations are required for Tours with tourhotels at this time , however we advise you to consult your doctor before traveling.

REFUNDS AND EXCHANGES

Refund will not be made after confirming your details in the final step of the order process system on this site or after confirming the booking verbally on the telephone. However, if the event you are booking does not have a confirmed date or you are buying an open voucher we will exchange this for another event of your choice. If the event is more expensive you will be asked to pay the excess. If the event is less we will hold the remainder on credit for you to use at a later date.

DELIVERY DETAILS

Your event  Tickets and Hotel Vouchers information will be delivered no later than 7 days prior to the event .by special secure post Royal Mail or UPS .

On some occasions (Hotel & Ticket Packages) tickets for events may be delivered directly to a hotel (where applicable)

TRAVEL INSURANCE

It is extremely important when travelling, to make sure you have adequate travel insurance. If you elect not to take our insurance you agree to indemnify or any costs that arise which would otherwise have been met had insurance been taken.

1 OUR OBLIGATION TO YOU

1 Once we have confirmed we have available space on an event of your choice we will process your payment and forward a confirmation invoice to you, from this time Latestevents.com has accepted your booking under these terms and conditions.

2 Due to the nature of some of our events in particular those for which admission to a concert or special event is the primary reason for travel, it is not always possible at the time of booking to 100% confirm the hotel to be used as demand may exceed the original hotel space reserved and further space added at short notice. However all hotels will be of the standard advertised.

3 PRICES Prices are always in English pounds and are subject to surcharges on Government Action (e.g. a change in VAT ) and currency. Even under these circumstances we will absorb an amount equivalent to 2% of the Tour price which excludes any insurance premium and any amendment charges . Only amounts in excess of 2% will be charged. If this means paying more than 10% of the basic cost you will be entitled to cancel your order with a full refund of any money paid except any premium paid to us for insurance or amendment charges. Should you decide to cancel because of this you must exercise your right to do so within 14 days from the issue date printed on the amended invoice. In the unlikely event of us having to pass on any currency or other surcharge these will be detailed to you not less than 4 weeks prior to the date of your chosen event.

2 IF WE CHANGE YOUR EVENT

It is possible that circumstances may force us to make changes in the advertised event , these changes fall into two categories: minor changes and major changes.

a) Minor changes take the form of changes in departure or return times by less than 12 hours , changes to departure point to the nearest available local departure or changes in the mode of transport to a major joining point, changes in accommodation to a similar or higher classification , changes to a similar location, changes to event itineraries.

b) Major changes are those including changes to the time of departure or return of more than 24 hours, changes in accommodation to a lower standard. If we have to make a major change you can decide:

i) To continue with the event as amended

ii) Accept an alternative event we may offer you

iii) Cancel your booking getting a full refund.

If you choose (i) or (ii) we will pay compensation on the scale below . This will be the limit of our liability to you.

Important note: Compensation payments do not apply to changes caused by reason of war, riots, civil strife, terrorist activity, industrial disputes, natural and nuclear disasters, fire, flood, technical problems to transport, closure or congestion of airports and ports, cancellation changes of schedules by schedule airlines /trains and similar events beyond our control.

3 WHAT HAPPENS TO COMPLAINTS

We do try to ensure that your event is as enjoyable as possible however very occasionally plans do go wrong. If you do encounter a problem please;
If traveling on a coach tour; inform our representative immediately who will try and resolve the matter there and then. We will not accept liability in respect of claims that we receive later than 28 days after your return from your event.
We can normally agree an amicable settlement of the few complaints we receive however in the unlikely event of us being unable to do so you may of course refer your case to the small claims court which provides an inexpensive way of settling claims.

If we are not the event operator and are agents for an event all complaints will be forwarded to the operator by us. Although we accept no responsibility for the error, we will help you put forward your case to the best of our abilities. Booking condition from the event operator always apply and are available on request.

4 SPECIAL REQUESTS

We accept these on the understanding that they must be in writing at least 4 weeks prior to your event. Under no circumstances can we guarantee that third parties provide the requested facility.

5 RESPONSIBILITY FOR YOUR TOUR

We accept responsibility for the actions and/or omissions of our employees, agents, subcontractors and suppliers whilst they are acting within the scope of their employment with us. We also accept responsibility should the service we offer prove deficient in any way. If any part of your event is not provided in the advertised manner we will pay you compensation if this has affected the enjoyment of your event (see important note at the end of paragraph 1). We will not however be responsible for nor accept liability for death , bodily injury or illness caused to the signatory to the contract and/or any named person on the booking form save insofar as such death, bodily injury or illnesses caused by the negligence of solo online media or its employees or agents of the same. Where services are supplied by air/train, or by sea the limit of our obligations shall be those laid down by international conventions which govern such matters in respect of air /train or sea carriers.

6 CONCERT/EVENT CANCELLATION

If you are traveling on a event for which the primary reason for travel is a special event such as a concert or sporting event, solo online media cannot take responsibility whatsoever as a result of any change/omissions in the event or the program or failure of the main event to take place as advertised. Our responsibility is to provide you with the ticket for the show as advertised by the promoter, nor can we be responsible for any expenses incurred by yourself as a result of the special event being cancelled by any party other than by solo online media

IMPORTANT NOTE REGARDING SPECIAL EVENTS: Should the special event be cancelled by the promoter/ artiste/performers, the trip/tour you have booked will still be scheduled to proceed. You will however, be entitled to an appropriate refund in respect to the Concert/Event Ticket. Should you decide not to travel as a result of a cancelled/altered performance, cancellation charges may apply in accordance with our cancellation terms in Section 8, to cover charges associated with pre-booked items such as Hotel, Cross Channel, Flight and Eurostar/Train reservations, as once booking have been made on your behalf, a no refund/change restrictions can apply.

solo online media.com will nevertheless look where possible to keep any cancellation charges to a minimum. Travel Insurance premiums are non refundable in any event.
Should you decide to cancel because of this you must exercise your right to do so within 7 days from the date you booked the event.

7 CANCELLATION DUE TO LACK OF DEMAND

Very occasionally we are obliged to cancel an event due to insufficient numbers, in the event of this happening we will offer you where possible an alternative event or if this is unacceptable we will refund all monies paid.

8 IF YOU CANCEL YOUR RESERVATION

If you cancel a concert/theater or sporting event package of which we are the tour operator you must notify us in writing immediately. As this incurs cancellation costs and we may not be able to re-sell your booking the following cancellation charges will apply.
